Job Description
The IT Asset and License Manager oversees the daily & long-term strategic management of software, technology-related hardware & licenses within the organization.
This includes planning, monitoring, budgeting, forecasting and recording software licenses and/ or hardware assets to ensure both compliance with vendor contracts, and an accurate representation of these assets in company financials.
The role will develop and implement procedures for tracking company assets to oversee quality control throughout their lifecycles, and maintain an inventory that will proactively drive appropriate advance notice on diligence related to contract expiry and/ or renewal. In addition, monitoring and identifying discrepancies is critical.
This role will work with vendors on validation of entitlements and audits.
The role also serves as the IT Gatekeeper for invoice approvals - the position coordinates timely invoice routing and approvals in the internal invoicing system and manages the appropriate accruals, forecasting, budgeting, and financial analysis associated with all aspects of IT spending on a monthly basis.
The IT Gatekeeper role involves regular interaction with the IT Leadership team and vendors.
The position ensures that IT invoices are coded correctly, from a GL and project/ recurring opex standpoint.
This position also manages our Procurement process - this involves a comprehensive approach that spans vendor management to responsive coordination on field/ corporate requests for quotes, as well as receiving assets in JDE and ensuring that those purchases are appropriately captured in project & company financials.
The individual will proactively assist in forming procurement strategies to optimize technology spend across the organization, and in managing the IT procurement process between vendors and internal stakeholders to be efficient and effective.
The IT Gatekeeper also administers our document repository and serves as the single point of contact for all technology agreements - vendor contracts, project charters, SOWs, work order forms, NDAs, etc. This requires interaction with the Legal department, as well as IT leadership and project managers.
This position interacts with all of IT and various business leaders across the organization, and does this with ease and clarity.
AREAS OF RESPONSIBILITY Strategy and Planning : Establish/ update policies and procedures for tracking the sign-in, sign-out or deployment of IT assets and licensing :
Explore opportunities for maximizing or exploiting unused or partially used IT assets to achieve full efficiency and ROI from company resources :
Participate in evaluation of the asset management process and recommendations on improvements Governance : Code and route invoices for approval in a timely manner :
Ensure invoices are accurately reflected in company financials :
Manage IT document repository for efficient archiving and access :
Manage accruals accurately across IT Acquisition and Deployment :
Develop, establish, implement, and enforce supplier and outsourcer guidelines, obligations, and service level agreements to the organization :
Conduct and report software asset reconciliation and audit activities on a timely basis, including financial, licensing, warranty, and maintenance/support contract information. :
Compare warranties, maintenance agreements, and vendor contracts to assist with asset upkeep, upgrades, repair, and replacement.

Formulate and implement processes and procedures for tracking and analyzing technical and financial data of company software, hardware, and equipment from requisition through retirement :
Track and maintain copies of software licenses, warranties, maintenance agreements, and vendor contracts. :
Enter all software and hardware serial numbers or identification tags into asset tracking system and ensure information is up-to-date, accurate, and auditable. :
Perform inventories and usage monitoring of all IT assets and record all findings, changes, physical location, and incidences of support. :
Research industry best practices and compare against the organization's practices in order to establish benchmarks for managing IT assets :
Monitor and identify discrepancies and follow-through with vendors :
Effectively communicate asset management strategies to team members and stakeholders in a timely and clear fashion. :
Generate, distribute, and review relevant management reports : Investigate and resolve exceptions and accuracy issues of the asset tracking repository :
Oversight of inventory management. As with contract management, must be done in collaboration with operations, as they are the primary stakeholder in this data. :
Asset lifecycle management : Providing accurate and timely supporting data to enable optimal decisions on asset deployment, management, and retirement/disposition. :
Identify and accurately quantify and communicate the financial effects of application upgrades (or upgrade avoidance) on IT organizations.
EDUCATION & EXPERIENCE REQUIREMENTS Education: :
Bachelor's degree required :
Understanding of Accounting and Financial concepts required :
Certified Software Management Professional and/or Certified Hardware Asset Management Professional through IBSMA, SIIA, IAITAM, or BSA a plus
Experience: :
Requires 3 years of experience in Asset Management and has knowledge of commonly-used concepts, practices, and procedures :
Advanced skills and knowledge in Microsoft Office Suite, particularly Excel :
3 - 5 years of IT experience preferred : Asset Management experience preferred :
Procurement experience a plus :
Financial analysis experience preferred :
Project analysis or coordination is a plus :
