POSITION SUMMARY This administrative role is primarily responsible for providing support for our Chief Development Officer.
The successful incumbent will perform administrative duties including organizing, scheduling, coordinating, researching, analyzing, compiling, and exchanging information for the CDO.
The nature of this position requires a high-level of professionalism, organization, and confidentiality.
The position requires a pro-active self-starter, with strong communication skills ready to get the job done in a fast-paced environment.
ESSENTIAL DUTIESGeneral Responsibilities Coordinate all activities for the CDO including screening calls/visitors, setting up conferences and meetings, and emails to effectively prioritize workflow.
Schedule and maintain CDO's calendar ensuring attendance at meetings, conference calls, travel, speaking engagements and other events.
Schedule meetings and handle arrangements for internal and external meetings.
This includes notifying and reminding attendees, ordering lunch if needed, setting up for meetings, and clean up afterwards.
Oversee and ensure payment of applicable invoices, including interfacing with A/P and outside vendors, determining invoice coding, submitting invoices to AP for payment, and following up to ensure payments are made.
Assists CDO on projects and presentations that require some independent research and creation of deliverables.
Must be able to create presentations and written documents.
Prioritize and follow up on multiple incoming issues and concerns including those of a sensitive and/or confidential nature; determine appropriate course of action, and/or response.
Represent and manage key external relationships, partners, and other business associates as needed.
Provide administrative support, including assistance in composing and editing routine and advanced correspondence including letters, presentations, memoranda, and reports.
Participate in meetings as requested to take meeting notes for future discussion, distribution, and follow-up.
Prepare expense reports, check purchase requisitions, and purchase orders.
Arrange and coordinate travel schedules and reservations; create detailed itineraries.
Assist with special projects as requested.
Assist with travel and prepare expense reports for the Senior Leaders in the real estate development department and other supported business unit functions.
Plan, organize, and assist in the execution of department and external meetings and departmental events, including, but not limited to, large offsite corporate summits.
May assist with personal tasks as requested.
Proactively coordinate with other internal Executive Assistants to appropriately manage communication flow among executives.
Other duties as assigned KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTSKnowledge:
High level of proficiency with all MS Office applications.
Knowledge of advanced office principles.
Real Estate Development knowledge or prior experience is a plus.
Skills & Abilities:
Ability to independently make decisions and act as necessary on behalf of the CDO as appropriate.
Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists.
Ability to exchange information clearly and concisely and to effectively present ideas, report facts and other information.
A high level of professionalism and an appreciation for the confidentiality and sensitivity of information received and handled.
Ability to effectively prioritize time sensitive material in an effective manner.
Excellent oral and written communication skills with the ability to independently compose correspondence.
Excellent interpersonal skills and a positive, up-beat attitude.
EDUCATION AND EXPERIENCE REQUIREMENTS Minimum 5 years' relevant executive/administrative assistant experience Real Estate Development knowledge or prior experience is a plus.
The base salary range below represents the low and high end of the Alterra Mtn Co Shared Services Inc.
salary range for this position.
Actual salaries will vary and may be above or below the range based on various factors including but not limited to experience, education, training, location, merit system, quantity or quality of production, responsibilities, and regular and/or necessary travel.
The range listed is just one component of Alterra Mtn Co Shared Services Inc.
's total compensation package for employees.
Other rewards may include short-term and long-term incentives and many region-specific benefits.
Denver area base salary range:
